RESCHEDULING POLICY

This policy and your personal responsibility will enable me to be free to serve all clients better instead of being distracted by reschedule requests day in and out.

Strength In Numbers’ rescheduling policy is as follows…

  1. If a client is late or no-shows the policy is that at 2 or 3 after (ex. 5:02) I will text to check in.  If still no response at 5 after I will place a phone call to the client and leave a voicemail if no response.  If by 15 after the client still has not responded, or will be unable to arrive to the session by then, the session will end.  If the session can not been rescheduled in a timely manner or has already been rescheduled too many times the session may be lost.
  2. It is the client’s sole responsibility to initiate and reschedule their session using the online system described in #3.  I have done everything I can to make it super simple and easy for you!  If you cannot find an option online that works, only then please text or email me with 3 specific dates & times that do work so I can check my calendar and get back to you and reduce the ping pong communication by only discussing one at a time.  If despite our best efforts the session can not be rescheduled in a timely manner the session may be lost.
  3. To reschedule an appointment existing clients should open the confirmation email or reminder email they received for the session they wish to reschedule.  In that email is a Reschedule button.  Simply click that and choose your own time.  Once done, you and I will both receive emails confirming the cancellation of the old time and the scheduling of the new time.  Pretty cool eh?
  4. It is the client’s responsibility to be aware of and keep track of how many times they have rescheduled and know their limits (below).
  5. Clients are limited to the amount of times they can reschedule an appointment.  Limits are as follows…
    • Clients who are in the initial 6 month phase of The Success Path are limited to a total of 5 rescheduled appointments.
    • Clients working with me on a session-by-session basis may only reschedule on a case-by-case basis.
    • Reschedules made by the client that exceed these limits will be cancelled and the session forfeited.
    • If a missed session can not be rescheduled within 10 calendar days of the original appointment for any reason (including what's already been outlined in #1 through #3) then it is forfeited.
    • When reschedule limits have been exhausted an inability to make an appointment will result in the session being forfeited.
  6. Exceptions to the above limits are dealt with on a case-by-case basis.  Some examples are below but should not be taken as a rule or an exhaustive list.  The client still needs to communicate with me about the need to reschedule even though they are rescheduling the appointment themselves online.  If an exception is determined then the session will not be lost if unable to be rescheduled.
    • Death in the family
    • Medical emergency
    • Violent or highly contagious sickness
  7. Here are some examples of reasons that are not exceptions to the rescheduling policy limits.  Again, this is not an exhaustive list.
    • I forgot to put in my calendar
    • I didn’t do my action steps
    • Work won’t let me leave (Communicate to them you have an appointment you can’t miss.  Exceptions may be made for professions where on call availability or something similiar is required for employment).
    • I overslept
    • Family event conflicts
  8. Rescheduled appointments less than 24 hours before the scheduled time will incur a $25 fee.
  9. Client understands that rescheduled or missed appointments do not extend their program beyond the number of session or length of time agreed to between the client and myself unless an exception has been granted by me based on the above.
